All Out Technologies (“we”, “us”, “our”) provides IT services and business communication solutions, including a WhatsApp Business messaging integration connected to our 3CX phone system. This policy explains how we collect, use, and protect information when you communicate with us via WhatsApp.

1. Information We Collect

When you send a WhatsApp message to one of our business numbers, we may collect and process:

• Your WhatsApp phone number
• Your WhatsApp display name (if provided)
• The content of the messages you send us (text, media, or attachments)
• Message metadata, such as timestamps and delivery status

2. How We Use Your Information

We use the information collected solely to:

• Respond to your enquiries and provide customer support
• Route your conversation to the appropriate team member
• Maintain a record of communication for service continuity

We do not use WhatsApp message content for advertising, profiling, or any purpose unrelated to responding to your enquiry.

3. How Messages Are Processed

Messages sent to our WhatsApp Business number are delivered via the WhatsApp Business Platform (operated by Meta) and routed into our internal 3CX communications system, where our team can view and reply to them. 4. Data Sharing

We do not sell, rent, or share your WhatsApp messaging data with third parties, except:

• Where required by law or legal process
• With service providers who help us operate our communications infrastructure (e.g. our 3CX hosting provider), under confidentiality obligations

5. Data Retention

We retain WhatsApp conversation records for as long as necessary to provide support and maintain business records, after which they are deleted or archived in accordance with our internal data retention practices.

6. Your Rights

You may request access to, correction of, or deletion of your personal information held by us at any time by contacting us using the details below. You may also opt out of further WhatsApp communication by simply not messaging us again — we do not initiate contact without you messaging us first.

7. Security

We take reasonable technical and organisational measures to protect the information you send us from unauthorised access, loss, or misuse.
